I decided to mitigate the risk by changing how I pack the items. For the electronics, I bought heavy duty plastic tubs with rubber sealing gaskets. I dropped a few packets of silica gel into each tub before snapping the lid shut. This creates a micro environment that stays dry even if the room temperature fluctuates. For the paper documents, I switched from cardboard boxes to plastic crates. Cardboard absorbs moisture from the air and transfers it to the paper inside. Plastic crates do not absorb anything. I also put the most important physical files inside ziplock bags before putting them in the crates.

Rethinking the physical volume

All this scanning made me rethink why I am keeping so much physical paper in the first place. The government is pushing hard for a shift to digital systems, and reading through Digital Dubai reminded me that going paperless and keeping documents digitally is the official direction for both businesses and residents. If I can get a digital copy of a contract, the physical original is just taking up space and risking mold damage. I am keeping the physical copies of things that absolutely require a wet signature, like the original title deed for the car and the stamped tenancy contract. Everything else, including old bank statements, utility bills, and expired insurance policies, is getting shredded after I verify the digital scan is readable. The scanner I bought has an automatic document feeder that handles double sided pages, which speeds up the process significantly. I batch the scanning into one hour sessions on the weekend so it does not feel like a massive chore. This drastically reduced the number of boxes I need to store. I went from fifteen boxes of paper down to four.

When you reduce the physical volume, you can afford to rent a smaller unit. A smaller unit is much easier to keep at a stable temperature because the cold air circulates better. I also left a gap of at least ten centimeters between the plastic crates and the walls of the unit. This allows air to flow around the boxes. If you stack everything flush against the exterior walls, the heat from the concrete transfers directly into your stuff. The exterior walls of these facilities get baking hot during the summer afternoons.

Final checks before signing the contract

Before you hand over the cheque, walk through the facility and look at the physical infrastructure. Check the thickness of the insulation on the walls. Look at how the doors seal when they close. Ask to see the actual maintenance logs for the AC units. If they cannot show you when the filters were last changed, assume they are clogged with dust and working at half capacity.

* Inspect the door seals and wall insulation in person before paying.
* Use sealed plastic tubs with silica gel for all sensitive electronics.
* Move paper files out of cardboard boxes and into plastic crates.
* Verify the AC runs continuously and is not on an evening timer.
* Protecting your physical assets in this climate requires active management and reducing your physical volume rather than just paying a higher monthly fee.
